Executive Assistant to the Executive Chairman (Internal Applicants Only)

The Role

At ED&F Man, we have a unique opportunity for an experienced Executive Assistant (EA) to join us and work for our Executive Chairman (EC).  This will be a busy role, so above all, you’ll need to be able to manage your time effectively, use your initiative and demonstrate grace under pressure.  Above all, you’ll be professional and will operate with total discretion.  Strong communication skills and excellent use of the English language are essential, both written and verbal, together with the ability to deal confidently with clients, suppliers and colleagues of all levels.  

It’s important that you’re agile and able to adapt and respond to the ever changing business needs and schedules.  You’ll need to be able to work well with other people, since this will be imperative for you to do a good job.  At the same time, someone who is a self-starter and able to work autonomously will be suited to this role. We’ll also need you to be proactive, always thinking one step ahead, and not ready to quit until the job gets done.

Responsibilities

• Timely set-up of Group Executive Committees, including the compilation and distribution of Committee papers and minute taking where necessary
• Full ownership of organising board meetings, including travel and accommodation, as required
• Effective diary management for the EC for all corporate commitments in the UK and overseas
• Proactive in setting up daily meetings with the EC to manage upcoming plans effectively
• Meeting and event organisation in-house and externally both in the UK and overseas
• Responsible for making complex business travel arrangements. Organising flights, cars, hotels, visas and associated expenses
• Maintain contact and provide a high level of support when the EC is travelling, providing all necessary itineraries and documentation
• Main point of contact between the EC and office
• Proactive correspondence management
• Managing relationships with corporate hotels and travel companies to maintain competitive rate renewals
• Greeting visitors and guests

Skills & Qualifications

• Extensive PA or EA experience, operating at board/senior executive level in a corporate environment
• Must be flexible and able to adapt and respond to the ever changing business needs and schedules
• Highly organised with the ability to work on both on your own initiative, and proactively and seamlessly with the EC
• Strong communication skills and able to communicate professionally and with confidence to stakeholders at all levels
• Strong attention to detail and you’ll be someone who takes pride in producing high quality work
• Advanced IT skills in PowerPoint and Word with a typing speed of at least 50 wpm, and intermediate in Excel.
• Ability to multi-task and prioritise competing demands and deadlines effectively
• Ability to remain calm and professional at all times, even under pressure
• You’ll be able to handle confidential information with discretion
• You’ll exercise good judgement and decision making skills
• You’ll have a positive and professional attitude, always leading by example
